HubSpot's free CRM is genuinely generous — that's the trap. It's designed to hold your data until the day you need one paid feature, and then the bill arrives with a marketing platform attached. Here's what to use instead if you're one person or a team of a few.
1. Forward
$19/mo flatBest for: Solo operators who live in their notes
Forward turns messy call notes, voice memos and email threads into contacts, deals and dated follow-ups. There's no per-seat tax, setup takes about thirty seconds, and the daily view answers one question: who do I move today? It's the lightest option here that still has real pipelines.
Watch out: Not built for a large sales team with quotas, forecasting and territory rules.
Forward vs HubSpot →2. Pipedrive
From ~$14/seat/moBest for: Small sales teams that live in a pipeline
The clearest deal-stage CRM on the market. If your business is genuinely stage-driven and two or more people work the same board, Pipedrive is faster to run than HubSpot and much cheaper than HubSpot's paid hubs.
Watch out: Per-seat pricing, and notes are still manual data entry.
Forward vs Pipedrive →3. Folk
From ~$25/seat/moBest for: Small teams sharing one contact list
Folk is a clean, modern contact hub with strong LinkedIn capture and enrichment. Great when the whole team needs the same tidy list and light outreach.
Watch out: Per-seat, lighter on pipeline depth and automated follow-through.
Forward vs Folk →4. Dex
From ~$15/moBest for: Networkers who want a smart address book
Dex quietly pulls people in from email, calendar and LinkedIn and keeps a beautiful people graph with keep-in-touch reminders. Excellent if remembering people is the job.
Watch out: Minimal deal management — it's a personal CRM, not a sales tool.
Forward vs Dex →5. Notion (CRM template)
Free–$10/seat/moBest for: Teams already running their whole life in Notion
Infinitely customisable and it lives beside your docs. For low-volume, low-urgency pipelines a Notion database is completely adequate and costs nothing extra.
Watch out: Nothing reminds you, nothing logs email, and the template becomes a maintenance project.
Forward vs Notion →6. A spreadsheet
FreeBest for: Under ~50 relationships with slow follow-ups
Still the correct answer for a lot of people. Fast, flexible, portable, and you already know how to use it.
Watch out: It never tells you what to do today, and it dies on a phone.
Forward vs a spreadsheet →Prices are publicly listed rates as of June 2026 and change often — check each vendor's pricing page before deciding.
If more than two people work the same deals every week, pick Pipedrive or Folk. If your job is remembering people rather than closing stages, pick Dex. If your pipeline is small and slow, stay in Sheets or Notion and spend the money elsewhere. If the thing that's actually failing is follow-through — notes never becoming next steps — that's the gap Forward was built for.
HubSpot exports contacts, companies, deals and notes as CSV from its export tool. Any tool worth moving to should take those files directly and let you export them again on demand — Forward does both, one readable CSV per table.
